How to build a local business prospect list
A prospect list is a short, prioritised set of businesses you intend to contact, with enough detail to act on. It is not a database dump. Here is how to build one for local selling, and what to record so it stays useful.
Write your criteria first
- Business type and the area you can serve.
- One or two fit signals, such as no website or a particular rating range.
- The maximum list size you can work in a month.
Gather candidates

Qualify and prioritise

What to record for each prospect
- Business name and the way you will contact them.
- A named contact and their role, once you know it.
- Status: New, Contacted, Interested, Follow-up, Converted or Not Interested.

Keep the list alive
Review it weekly. Close leads that will not convert, update statuses, and add the next batch only when you have worked the current one. Lists decay: businesses move, close or change owners, so confirm details before you rely on them.
A simple structure for the list
Group prospects by the offer you will lead with, then by area. For each group keep a short note on why those businesses fit, since that note becomes the opening line of your outreach. In a CRM this works well with tags: one tag for the offer and one for the priority level.
Review each group when you finish contacting it. Record which businesses responded and which did not, so the next list in the same niche starts with a better idea of what works.
How many prospects to add at a time
Add prospects in batches you can finish. A batch of a few dozen that you contact and follow up with fully is more valuable than hundreds you only half work. When the batch is mostly closed out, search the next area and repeat.
Frequently asked questions
Should I include businesses I have already contacted?
Yes, with their status, so you do not contact them twice and can see what happened. Mark closed leads Converted or Not Interested so the list shows what is still live.
How big should a prospect list be?
Only as large as you can contact and follow up in a reasonable time. For many people that is a few dozen businesses at a time.
Can I export my list?
